How to share travel plans with your family calendar

Share flights, stays, bookings, and itinerary changes in one family calendar so everyone can see the trip plan and know what happens next.

A shared family calendar gives the trip one place to live. Everyone can see the same dates, times, locations, and changes without asking the person who made the bookings to repeat the itinerary.

Build the backbone of the trip first

Start with the events that shape the whole journey: when you leave, where you stay, when you move between places, and when you come home. Add those before restaurant bookings and optional activities so the family can understand the trip at a glance.

Flights and trains. Include departure and arrival times, terminals or stations, and the booking reference.

Hotels and other stays. Record check-in, check-out, the address, and the name on the booking.

Transfers. Add airport pickups, car hire, ferries, and any connection with a fixed time.

Booked activities. Save tours, tickets, meals, and visits that the family needs to reach on time.

Move booking details while they are open

The easiest time to update the family calendar is when the confirmation is already on screen. Add the useful details immediately instead of trusting that someone will find the email again at the airport or hotel desk.

Share the plan, not a booking account

Invite each person who helps plan into the same family instead of sharing passwords or sending new screenshots after every change. Adults can add and update plans, while each event shows the family members involved.

Assign the person who is travelling, driving, checking in, or holding the tickets. That small detail turns an itinerary into a useful family plan because it answers both what is happening and who needs to act.

Keep the trip visible in the calendars people already check

Make each change once

Travel changes are where scattered plans cause the most trouble. When a flight moves or a meeting point changes, update the shared event first. The current time and location then live in the same place everyone already knows to check.

Use clear event names. Write "Flight to Melbourne" or "Hotel check-in" instead of a vague booking code.

Keep local times. Enter each event at the time shown for that location and check the timezone.

Add the useful address. Save the terminal, station, hotel, or meeting point where the family needs it.

Update the event. Do not leave the latest change inside one person's email or message thread.

Check the family calendar before you leave

A day or two before departure, review the trip together. Look for missing transfers, overlapping times, empty addresses, and events with no clear owner. The goal is not a minute-by-minute holiday schedule. It is making the fixed parts easy for everyone to find.
